City River High School

Privacy Policy

Last updated October 17, 2026

Overview

This policy explains how City River High School handles information submitted through cityriverhs.org. It applies to this website and does not replace the privacy policies of third-party services that the site links to.

Information we collect

When you join the Prospective Families list or the General Updates list, we collect the email address you choose to provide. We may also receive basic technical information associated with a form submission, such as the time of submission and information needed to protect the form from misuse.

Apart from the application portal described below, this website does not provide visitor accounts, public comments, or a login area, and it does not collect payment-card information directly.

Applications

The application asks for contact information for parents or guardians and students, school records, letters of recommendation, video answers, optional background information, and anything a family chooses to share. Only the City River admissions team sees it, and the Head of School and admissions staff are the only people who see financial or IEP documents. We store it in our secure Google Workspace account and in Ploy, the service that runs our website and application portal. We never sell it. We delete video answers 90 days after we send admission decisions. We keep the rest of the file for applicants who are not admitted for two fiscal years and delete it afterward. Parents can ask to see, correct, or delete their child's information by emailing Admissions@CityRiverHS.org.

These vendors handle application information for City River:

  • Google Workspace, which stores video answers and admissions email.
  • Ploy, which runs our website and application portal and stores family accounts, application forms, and uploaded documents.
  • Resend, which sends application emails, such as account confirmations and requests to recommenders and schools. These emails include names and email addresses.

How we use information

We use submitted information to:

  • send school news, event information, and enrollment updates;
  • respond to questions or requests you send us;
  • operate, secure, and improve the website; and
  • meet applicable administrative or legal obligations.

We do not sell personal information.

Service providers and external sites

We use service providers to operate parts of the website, including the service that stores and delivers update-list submissions. Those providers may process information only as needed to provide their services to City River High School.

Donation forms are delivered inside the Give page by Every Child Every Family and Givebutter. Payment details are processed by those providers, not stored by City River’s website. Givebutter may use its own cookies and tools, including those from Meta, inside the Give page. Videos may be delivered through Vimeo or YouTube, and social-media links may open LinkedIn, Instagram, or YouTube. Information you provide to those services is governed by their own privacy policies and terms.

Cookies and technical data

The website and embedded or linked services may use cookies or similar technologies for essential operation, security, media playback, and understanding site performance.

We use the Meta Pixel, a tool from Meta, the company that runs Facebook and Instagram. When you visit our public pages, the pixel records that a page was viewed. When you join the Prospective Families list, it records that a sign-up happened. We use this to understand how families find the school and to measure our Facebook and Instagram ads. We do not send your name, email address, or any other information you type into a form to Meta. The pixel does not run on the application portal.

We also use Google Ads tools to measure ad performance. These tools use cookies.

Your browser settings may allow you to block or delete cookies, although doing so can affect how some features work. You can also manage how Meta uses information for ads in your Facebook and Instagram ad settings, and how Google uses it at adssettings.google.com.

Data retention and security

We keep personal information only for as long as reasonably needed for the purposes described in this policy, including to maintain school communications and meet legal or administrative requirements. We use reasonable administrative and technical safeguards, but no method of internet transmission or storage can be guaranteed to be completely secure.

Your choices

You may unsubscribe from admissions or community emails using the instructions in a message you receive. You may also contact us to ask about, correct, or request deletion of personal information you previously submitted, subject to information we must retain for legal or administrative purposes.

Children’s privacy

This public informational website is intended for prospective families, supporters, and community members. A parent or guardian completes the application, and students record video answers with a parent or guardian's permission. We do not knowingly collect information directly from children under 13. A parent or guardian who believes a child has submitted personal information may contact us to request its removal.

Changes to this policy

We may update this policy as the school and website develop. The latest version will appear on this page with its updated date.
